DelSuites Inc. ("DelSuites", "we", "us", or "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, store, retain, and safeguard personal information when you interact with us, including through our websites, reservations, stays, corporate housing services, and communications. This policy is intended to comply with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and Québec’s Act respecting the protection of personal information in the private sector, as modernized by Law 25.

2. Scope

This Privacy Policy applies to personal information we handle in the course of our business, including information collected:

• on our websites and digital platforms;
• through reservations, stays, and guest services;
• through corporate housing/client relationships and relocation partners;
• via communications (email, phone, chat, forms); and
• through third-party booking channels and service partners.

3. What Personal Information We Collect

We collect personal information only as needed for identified purposes. Information may include:

A) Information you provide
• Contact details (e.g., name, email, phone number, mailing address);
• Reservation and stay details (dates, location, occupancy);
• Billing and payment details (payments are processed by our payment service providers, such as Stripe);
• Corporate/employer details (where applicable);
• Preferences and special requests; and
• Communications with us (emails, calls, support interactions).

B) Information collected automatically (website & digital)
• IP address, device identifiers, browser type, operating system;
• Pages viewed, clicks, referrals, and approximate location derived from IP; and
• Cookies and similar technologies (see Section 10).

C) Information from third parties
• Corporate clients / relocation partners (to coordinate accommodations);
• Booking platforms / travel partners (to fulfill reservations);
• Payment processors (transaction confirmations and fraud signals); and
• Service providers supporting our operations (e.g., IT, analytics, customer support).

4. How We Use Personal Information

We use personal information to:

• Provide and administer accommodations and related services (including reservations, check-in/out support, and guest communications);
• Process transactions and payments, and provide receipts/invoices;
• Respond to inquiries, requests, and customer support needs;
• Manage corporate housing relationships and service delivery;
• Improve our services, websites, and customer experience (including analytics);
• Send service messages (e.g., confirmations, updates) and, where permitted, marketing communications;
• Protect our guests, staff, and properties; detect and prevent fraud and misuse; and
• Meet legal, regulatory, and accounting requirements.

5. Consent & Your Choices

We collect, use, and disclose personal information with your knowledge and consent, except where permitted or required by law. Consent may be express or implied depending on the circumstances.
Marketing choices: You can opt out of marketing emails at any time using the unsubscribe link or by contacting us (see Section 14).
Cookie choices: You can control cookies through your browser settings and (where available) our cookie preference tools (see Section 10). For Québec residents, certain optional tracking/profiling technologies are intended to be disabled by default unless you choose to enable them.

6. How We Share Personal Information

DelSuites does not sell your personal information. We may share personal information with:

• Service providers that perform services on our behalf (including Stripe for payment processing; Google Analytics, Meta Pixel and HubSpot for analytics/marketing; and DelPlus and Elina as property management systems), under contractual confidentiality and security obligations;
• Corporate clients / relocation partners where necessary to administer or confirm services (limited to what is required);
• Affiliated/related entities where necessary for service delivery, administration, or support;
• Legal/regulatory authorities where required or permitted by law; and
• Parties involved in a merger, acquisition, financing, or asset sale, subject to appropriate safeguards and confidentiality commitments.

7. Cross-Border Processing

Some of our systems and service providers may process or store personal information outside of Canada (including in the United States, the United Kingdom, and other jurisdictions). Where this occurs, personal information may be subject to the laws of the jurisdiction where it is processed. We take reasonable steps to ensure appropriate safeguards and contractual protections are in place, and (where required) we evaluate cross-border transfers, including for transfers outside Québec.

8. Retention & Secure Destruction

We retain personal information only as long as needed to fulfill the purposes described in this policy and to meet legal, tax, and operational requirements. When no longer required, we securely destroy, delete, or anonymize the information.

9. Safeguards & Security

We maintain physical, administrative, and technical safeguards appropriate to the sensitivity of the information, including access controls and security measures for systems and data. No method of transmission over the internet or electronic storage is fully secure; however, we work to protect personal information using reasonable safeguards.

10. Cookies, Analytics & Similar Technologies

We use cookies and similar technologies to operate and improve our websites, understand traffic and usage trends, enable site features, and support analytics and marketing measurement. Some of the tools we may use include Google Analytics, Meta Pixel, and HubSpot. Where required, we provide meaningful choices for optional cookies and similar technologies. You can manage cookies through your browser settings and (where available) our cookie preference tools. Disabling cookies may affect certain site features.

11. Automated Decision-Making (If Applicable)

If we use automated processing to make a decision that significantly affects you (for example, fraud-prevention decisions made automatically), we will inform you and you may request information about the principal factors and data used, request correction of inaccurate information, and request review as applicable. 

12. Privacy Incidents (Security Breaches)

We maintain procedures to detect, respond to, and document privacy incidents involving personal information. Where required by law, we will notify affected individuals and applicable regulators, and we maintain a register of incidents.

13. Your Rights (Access, Correction, Portability)

Subject to applicable law, you may request access to your personal information, request correction of inaccurate or incomplete information, and withdraw consent where consent is the basis for processing (subject to legal or contractual limits).
Québec portability right: Québec law provides a right to receive certain computerized personal information collected from you in a structured, commonly used technological format, subject to limitations and practical constraints.
